Privacy notice for players
For people who book courts through Chachi Court.
Chachi Court is booking software used by sports venues. When you book a court, some of your details are handled by us and passed to the venue you booked. This notice explains exactly what, why, and what you can ask us to do about it.
It is governed by Republic Act 10173, the Data Privacy Act of 2012. Unauthorised access to your data is also an offence under Republic Act 10175, the Cybercrime Prevention Act, and electronic records here have legal effect under Republic Act 8792.
What we collect
Only what a booking needs. If you book as a guest, that is your name and your mobile number. If you have an account, it also includes your email address and your booking history.
We collect no biometric data of any kind, and there is no plan to. Checking in at a venue is a QR code or your name at the counter.

- Your mobile number, so the venue can reach you about your booking.
- Your email address, if you have an account.
- Your bookings: which court, when, how much, and whether it was paid.
- The reference number you enter when you pay by GCash or QR Ph — the number itself, not your GCash account.

Why we collect it, and on what basis
To take your booking, hold the court for you, let the venue know you are coming, and settle payment. That is the contract between you and the venue, and this is the data it takes to perform it.
Anything beyond that would need a stated purpose and your consent. We do not profile you, we do not sell your data, and we do not use it to advertise to you.

Who sees it
The venue you booked. Nobody else.
A venue receives your name, phone number and email so it can fulfil your booking. Under our terms, a venue may not sell, rent or pass on your data, and may use it only for running that venue. A different venue on Chachi Court cannot see that you exist.
We do not sell your data to anyone, and we do not share it with advertisers.

Payments
We never store your card or wallet credentials. When you pay a venue by GCash or QR Ph, the money goes to that venue directly and you give us only the reference number so staff can confirm it arrived. Where a venue accepts cards, it does so through its own PayMongo account.
Chachi Court adds no fee of its own to what the venue charges you. If that ever changes, the amount will be shown before you pay and this notice will be re-issued with a new version and a new date.
Any payment screenshot you upload is visible only to that venue’s staff and to you. It is never publicly reachable.

Your account is not a staff account
A player account is a separate system from the accounts venue staff and owners use. It carries no venue permissions, cannot reach the Chachi platform portal, and there is no path — for you or for anyone else — that turns it into a staff account. This is a structural separation, not a policy we promise to follow.

How long we keep it
Your booking and payment records are kept for ten years. That is a tax and accounting obligation on the venue and on us, and it is not something either of us can waive.
Data that is not a financial record — your profile, your preferences — is kept while your account exists.

Your rights, and how to use them
Under the Data Privacy Act you may ask what we hold about you, get a copy of it, correct it, object to how it is used, ask for it to be erased, and complain to the National Privacy Commission.
Write to the address at the bottom of this page. We will answer within fifteen days.

Erasure means anonymised, not deleted — and here is why
If you ask to be erased, we remove your name, number and email from our records. We do not delete the payment rows themselves, because a payment is a financial record we are required to keep for ten years.
What survives is the amount, the date and the receipt number, with no indication of who you were. What is gone is anything that identifies you. We would rather tell you this plainly than promise a deletion we are not permitted to perform.

If something goes wrong
If your personal data is exposed in a breach, we will report it to the National Privacy Commission and tell the people affected within 72 hours of discovering it.

Changes to this notice
Every version of this notice carries a version number and an effective date, and previous versions are kept. If we change something that affects you, the version changes and you will be asked to read it.
